Giving us personal data is voluntary; no law or contract requires it. To answer a demo request, however, we need the fields marked as required in the form, such as your name, business email and message. Without them, we cannot respond.
3. How we use information
We may process personal information to:
- Provide the services you request
- Respond to enquiries and demo requests
- Provide customer support
- Manage business relationships
- Prepare and administer contracts
- Secure our systems and detect abuse and security incidents
- Improve our website and products
- Understand how our website is used, where you have consented to analytics
- Keep operational records
- Comply with legal obligations
- Send product information, where the law permits
We do not make decisions about you based solely on automated processing, including profiling, that have legal or similarly significant effects on you.
4. Legal bases
Where the EU General Data Protection Regulation (GDPR) or a similar law applies, we rely on a specific legal basis for each processing activity:
| Activity | Information | Legal basis |
|---|---|---|
| Responding to enquiries and demo requests | Identity, contact and business information | Steps taken at your request before entering into a contract, and our legitimate interest in responding to business enquiries |
| Administering contracts and customer accounts | Identity, contact, business and account information | Performance of a contract |
| Operating and securing the website | Technical information | Our legitimate interest in keeping the website available and secure |
| Website analytics, only if enabled | Technical information | Your consent |
| Product communications | Contact information | Your consent, or our legitimate interest where the law permits business-to-business communications |
| Keeping records required by law | As required by the relevant law | Legal obligation |
Where we rely on legitimate interests, we balance them against your rights and freedoms. Where we rely on consent, you can withdraw it at any time; this does not affect processing that took place before you withdrew it.
5. Cookies
We use cookies and similar technologies that the website needs to work, such as remembering the colour theme you choose. Optional cookies, such as analytics, are used only with your consent. See our Cookie policy for details and to change your settings.
6. Data sharing
We do not sell personal data. We share it only where needed:
- With service providers that process it on our behalf (see section 7)
- With professional advisers, such as lawyers and accountants, under duties of confidentiality
- Where required by law, regulation or a valid request from a public authority
- In connection with a merger, acquisition or sale of assets, subject to appropriate safeguards
- With your consent
7. Service providers
We use service providers for website hosting and email. They may process personal data only on our instructions and under contractual obligations that protect it. Our current provider is:
| Provider | What it does for us | Location |
|---|---|---|
| Hostinger International Ltd | Hosts this website and the demo request form, and runs our email (info@fellowdata.com) | Company in Cyprus (EU); servers in Frankfurt, Germany (EU) |
We will update this list when we add or change a provider. Fellow Data's subprocessor register for customer products will be published as applicable.
8. International transfers
Our website and email are hosted on Hostinger servers in Frankfurt, Germany (EU). Fellow Data is based in Türkiye, outside the EU, and our team handles enquiries from there. Our products may also use infrastructure and service providers in other countries.
The European Commission has not adopted an adequacy decision for Türkiye. Where the law requires safeguards for an international transfer, we use the mechanisms it provides, such as standard contractual clauses.
To ask about these safeguards or to request a copy, email info@fellowdata.com.
9. Data retention
We keep personal data only as long as we need it for the purpose we collected it for, or as long as the law requires us to. These are our retention periods:
| Information | How long we keep it | Why |
|---|---|---|
| Demo requests and other enquiries that do not lead to a business relationship | 24 months after our last contact with you | To answer follow-up questions and keep a record of our conversation |
| Contracts, invoices and business correspondence with customers and suppliers | 10 years from the end of the year in which they were created, sent or received | Required by the Turkish Commercial Code (Article 82) and Turkish tax law |
| Information needed for a legal claim or dispute | Until the claim is resolved and the legal limitation period has ended | To establish, exercise or defend legal claims |
| Spam protection for the demo request form: a scrambled code made from your IP address (never the address itself) and the times you used the form | 1 hour, then deleted automatically | Our legitimate interest in keeping the website secure |
| Website server logs, such as IP address, page requested and time | Kept by Hostinger only as long as needed to run and secure the website; we do not copy or keep them | Our legitimate interest in keeping the website available and secure |
| Your cookie choices | 12 months, stored in your browser; then we ask again | To remember your choice |
| Your colour theme choice | Stored in your browser until you clear it | To show the website in the theme you chose |
| Product communications, if you receive them | Until you unsubscribe or object | Your consent, or our legitimate interest where the law permits |
When a retention period ends, we delete, destroy or anonymise the personal data. We check at least every six months for data whose retention period has ended.
10. Data security
We use technical and organisational measures designed to protect personal data against unauthorised access, loss and misuse, including encrypted connections (HTTPS) and access controls. No method of transmission or storage is completely secure. Read more about our approach on the Security page.
11. Your rights
Depending on the law that applies to you, you may have the right to:
- Access the personal data we hold about you
- Have inaccurate data corrected
- Have your data deleted
- Restrict how we use your data
- Object to our use of your data
- Receive your data in a portable format
- Withdraw your consent at any time
To exercise a right, email info@fellowdata.com. We may need to verify your identity before we respond. The exact rights and conditions depend on the applicable law; see Data protection for GDPR and KVKK specifics.
You also have the right to complain to a data-protection supervisory authority, such as the authority in your country of residence in the EU, or the Personal Data Protection Authority (KVKK) in Türkiye.
12. Children's data
Our website and services are intended for businesses and professionals. They are not directed at children, and we do not knowingly collect personal data from anyone under 18.
13. Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it last changed. If we make significant changes, we will make them clear on this page.
